How do I make a change to a grant round once it is open?

 

A field such as the Program Description can be edited after a grant round has been opened and the grant round saved using the Save Draft button.

 

If you need to change the open date you will need to change the status of the grant round back to Draft and click the 'save draft' button.


If you have changed the FP Due Date or EOI Due Date you will then need to Save Draft and then click the Reset Reminders for Applications button. This will ensure that reminders are sent to applicants on the correct dates and the grant round will close on the correct date.

Can I see the applications for a grant round?

Yes.

You can open the grant round from the Grant Round Manager and view the applications from the Applications tab on the left.



Can I add a new Fund Allocation after the grant round is created and applications have been created?

You will need to open the application, go to the Program/Fund tab on the left and then manually find and add the new Fund Allocation.

 

Any Fund Allocations added to the Grant Round after it has been opened, won’t automatically be added to applications that have already been created. You will still need to manually add them to created applications.

What happens after the grant round close date?

The grant round will automatically change to closed and any applications that were in Draft status will be moved to Incomplete.

Can I extend a grant round?

Yes.

It is best to do this before the grant round finishes. You will need to edit the closing date to be in the future and then Save Draft.

The Reset Reminders for Applications button must then be selected to not only reset the reminders but to stop the applications being moved to incomplete.

Can I allow an organisation to submit a late application after the ground round closes?Yes this is possible.

If there is no application you will need to create one.
  • Open the closed grant round and use the 'Add staff generated Grant' button. 
  • Select the organisation and primary contact and then 'Continue'.
  • Manually change the status to Draft EOI or Draft 
  • Select the 'Save Draft' button.
  • You may then wish to use the Notes feature to send a message to the primary contact to let them know they can fill in the application and it will be on their dashboard in Draft.
  • Note: The applicant will not have any reminders sent to them and the application will not be automatically moved to incomplete.

If the application had already been started by the organisation, but it moved to incomplete when the round closed or the EOI window closed you can re-open it following these steps.
  • Open the application which will have a status of incomplete.
  • Select the 'Staff Generated Application' checkbox on the General Tab.
  • Click 'Save Draft'.
  • Manually change the status back to Draft EOI or Draft and then 'Save Draft' again.
  • You may wish to use the Notes feature to send a message to the primary contact to let them know they can fill in the application and it will be on their dashboard in Draft.
  • Note: The applicant will not have any reminders sent to them and the application will not be automatically moved to incomplete.
